What Book-a-Team does, what it does not do, and how it handles data.
What is Book-a-Team?
A tool for scheduling interviews with more than one interviewer. You say which skills an interview needs, candidates pick a time through a link, and the app reserves people who have those skills and are free.
What does it cost?
Nothing. The service is free of charge, as the terms of use say.
Which calendars does it work with?
Zoho Calendar, for accounts in the US and EU data centres of Zoho. Google Calendar, Outlook and others are not supported. More about the connection to Zoho Calendar
Can I use it without a calendar?
Yes. Interviewers then count as busy only during interviews booked through Book-a-Team. No calendar entries are made, and the video link is a room at Jitsi Meet.
How are the interviewers chosen?
From the members of a booking team, by the rules you wrote, for example 2 x java and 1 x team-lead. For each time the app takes people who have the skill and are free. It is not a rotation: when several people fit, they are taken in the order of their names. You can limit how many interviews a person takes per week; once the limit is reached, the next person who fits is taken. How it works in detail
When can interviews take place?
Monday to Friday between 08:00 and 18:00, starting on the hour or the half hour. These hours are fixed and the same for every team. An interview lasts between 15 minutes and 8 hours, which you set for each team.
What about time zones?
All times are shown in one time zone, and the booking page names it. The page does not adapt to the time zone of the candidate.
Can a candidate reschedule?
Not in one step. The candidate cancels and books a new time through the same link.
Are there reminders?
No. Candidates get a confirmation and, if they cancel, a cancellation. Each interviewer gets an email about a new interview. Nothing is sent shortly before the interview.
What do candidates need?

Which languages does it speak?
This website and the legal texts are in English and German. The application itself, the booking pages and the emails are in English only.
How do my colleagues get in?
When you create your space you can open it to the email domain of your company. Colleagues who sign in with an address of that domain can then ask to join. They get in once a member of the space has approved them under Members, and members can be removed there again. Everybody in a space can do everything; there are no roles. With an address of a public mail provider you get a space for yourself.
What happens to the data of candidates?
Name and email address are stored with the booking and deleted 180 days after the interview. There is no tracking. More about data protection
How do I delete my space?
Write to us. The address is in the imprint. There is no button for it.
Can I use it for sales calls or customer appointments?
It is built for interviews, and the booking pages and emails say “interview”. For other meetings a general scheduling tool is the better choice. Book-a-Team and Calendly compared
